The phone rings while you are finishing something else
There is a patient at the desk, the phone is ringing, and in the inbox there are four booking emails that came in overnight, all to be put onto the schedule by hand, it is like this nearly every morning, and it is not the work a practice exists for, it is the surrounding part, and you cannot skip it
- Bookings that come in by phone and by email, each one written its own way, and somebody has to type them onto the schedule
- Last-minute changes and cancellations, with the gap to fill by calling someone from the waiting list
- Recall calls and confirmations the day before, one by one, so nobody ends up with an empty practice
- Reports and documents that arrive and have to be handed to the right patient, without mixing anyone up
- Invoicing, and then the administrative obligations, with the healthcare expenses filing that comes round again and again
Examples of things the system can do at the front desk
These are examples of what the system is able to do, not jobs already delivered to some practice, we started recently and we would rather tell you here than let you find out later
- It reads the booking emails, pulls out the name, the contact details and the service asked for, and prepares the line on the schedule with the free slot, leaving the final confirmation to you
- It prepares the next day's recall calls, the list of who has to be called and who has already replied, so the front desk only makes the calls that are really needed
- When a cancellation frees a slot, it pulls out the list of who is waiting for that service, in order, ready to contact
- It takes the administrative documents, checks that all the fields are there and that the numbers add up, and flags the incomplete ones before they turn into a rejection
- It redoes the entries you retype by hand today into the practice business software and onto the schedule, opening the screens the way a person would, even when those programs have no direct integration
Muffin Suite does not touch the filings to the national health card system, the electronic prescription or the other obligations towards the authorities, and it makes no declaration of compliance, that part stays with the practice and with whoever advises it, on the rest the method is the same, we look together at which part of the round is mechanical and repeatable and which one stays a decision of yours, and only the first gets automated, where logging into a portal is needed the work is done the way described on the page about web portal automation
What stays with the person at the front desk
The patient on the phone who explains badly what is wrong, the one who turns up with no appointment, the doctor who asks to move the whole afternoon: that is the part a machine does not do, and it is also the part the front desk is there for
The system does not guess, if a name is not clear, if an email is ambiguous, if a document does not add up, it stops and leaves you the case to look at, with what it understood and what it did not, ten cases set aside are better than one got wrong in silence
Why it is worth it for the practice
The hours that go today into typing and into calls that lead nowhere come back free, and they go into looking after the patients or into closing the day earlier, without taking anyone else on just to copy data over, and you don't have to replace your software, we work on the ones you already have
