Nine in the evening, and the record book is still behind
The day ended a while ago, the tractor is back, in the cellar the rackings are done, and now someone has to sit down and write up what happened today, and what happened yesterday, because yesterday it was late as well
You have to keep the records anyway, it isn't a choice, the book doesn't fill itself in and it doesn't wait for a good moment, and nearly always the person filling it in is the same person who spent the day outside, which means the most tired person on the farm
The work that eats your evenings
It isn't the fields and it isn't the cellar, that's the trade, it's the steps around them, always the same, that someone has to do no matter what
- The stock movements to record, with the dates and the quantities that have to match what actually happened
- Supplier documents, delivery notes (DDT), dockets, that arrive by hand, by email, or on the floor of the tractor cab
- Data already written on a document that gets typed in again by hand inside the business software, one item at a time
- The deadlines to keep an eye on, that nobody reminds you about until it's late
- The paperwork that has to hold up if an inspection turns up, and it has to be in order beforehand, not on the day itself
Examples of what the system can do
These are examples of jobs the system can do, not jobs already delivered for some company, we started recently and we'd rather tell you straight away than spin you a story
- The system reads the supplier's document, pulls out supplier, date, product and quantity, and prepares the entry inside the business software you already use, following the rules you gave it
- It takes the Excel sheet or the PDF where someone jotted down the week's operations and pours it into the program, line by line, without skipping one at eleven at night
- It compares what has been recorded with what the documents say, and sets aside the lines that don't add up instead of letting them through
- It keeps track of the due dates and warns you in advance, not on the day itself
- It files the documents under the name and in the folder you use, so when you need them you can find them
These are jobs a machine does well because they are mechanical, and jobs a person does badly, not through carelessness, but because by line fifty in the evening anyone makes mistakes
Your program stays your program
We don't ask you to replace your software, and your program doesn't need a technical integration to the outside world, because the system opens the screens and fills in the fields the way a person sitting in front of it would
On old programs, or on ones built to order years ago by someone who no longer answers the phone, it works all the same, and it's what we do best
What stays with you
The decisions, all of them, the system carries out the rules the company has already set with its own consultant, it doesn't make them and it doesn't interpret them
If a document is new, if a quantity doesn't add up, if a value is missing, it invents nothing, it stops and leaves the case for you to look at, which is exactly what you want from something that touches your records
You decide how much rope to give it, at the start it's worth keeping it short, with more checks and more confirmations, then you widen it on the cases you have seen work
Why it pays off
Evenings go back to being evenings, and the hours that go into copying things out today go back to the real work or to your family, without hiring someone to type in data and without buying a new program
There's something less visible too, records kept day by day by a system that doesn't forget are worth more than catching up all at once at the end of the month, when by then you're going by memory
