A new property, and the round begins
The instruction comes in, you take the photos, you write the description, and from there starts the part nobody in an agency ever talks about, which is uploading that same property to the agency's business software and then to the listing portals, one at a time
Every portal has its own screens, its own required fields, its own idea of how the energy rating is written and how many photos fit, so you retype the same listing with small differences, five times, and every time you have to watch out not to get a square meter or a figure wrong
Then the house has a life of its own, the price drops by ten thousand, the owner says the cellar can be sold separately, the property goes into negotiation, and you do the identical round again on every portal where you had put it, and when it finally sells the listing has to come down, and if it stays online you get calls about a house you no longer have, with people getting annoyed and you explaining
- The same listing retyped on several portals, each with its own fields
- Price, status and availability to update everywhere, every time something changes
- Sold listings to take down, quickly, before the phone rings for nothing
- The case documents, land registry search, floor plan, energy certificate (APE), offer, to collect, rename and put where you will find them again
- Seller and buyer records typed into the business software, and written out the same way in every form you need
Why this is exactly the work to take away first
It isn't hard work, and it takes no particular skill, anyone could do it after half an hour of explanation, the problem is that it has to be redone identically five times, always the same, and it eats an afternoon you would have spent with a client
Repetitive work, with fixed rules, where the mistake comes from tiredness and not from thinking, is the exact profile of what is worth handing to a machine, and it is worth taking away before anything else
Examples of what the system can do in an agency
- You fill in the property sheet once, in the format you decide, and the system opens the listing portals with your credentials, fills in the fields of each one and uploads the photos in the order you gave it
- You change the price in one place only, and the update is made again on every portal where that property is published, without you having to remember where you had put it
- You mark the property as sold and the listings are taken down, so the calls about a house that is no longer there stop coming
- The system reads the case documents, pulls out the data it needs, writes it into the agency's business software and files the documents with the name and the folder you already use
- If a required field is missing, or a piece of data doesn't match what's in the system, it stops and leaves you the case to look at, instead of publishing a listing that's wrong
If the programs you use have no direct integration to offer you, that's fine anyway, the system works on the screens the way a person would, and it's the house specialty
What stays with you, which is your trade after all
Selling and negotiating, working out in two minutes whether the person calling is really looking or just browsing, telling the owner that nobody will pay the price he has in his head, holding people together until the deed is signed, no machine does that and I'm not telling you otherwise, the system does the mechanical steps and leaves you the time for the part that counts
