Three portals for the same case, and the same customer record typed three times

Every carrier has its own system with its own screens, and none of them will ever give you a direct integration to talk to it

Our system opens the programs you already use, reads the documents and fills in the fields for you

You don't have to replace your software, and you don't pay a large sum up front

Insurance forms and policies stacked on a desk next to a pen

The day that disappears into the portals

A client asks for a policy, and before you get to the signature you go through a quoting tool, then the carrier's portal, then the agency software, and in each one you retype the same name, the same tax code, the same plate number, the same date of birth

Then there is all the rest, which asks for no thought but does ask for time

  • The renewals to keep track of, with the list to prepare before they expire and the clients to warn
  • The premium receipts to download and send to the client who has paid
  • The policy documents to send out to the client, each with the right attachment
  • The payments to reconcile, what came into the bank against what the system says
  • The portals of the carriers you work with, each with its own screens, its own rules and its own required fields put in a different order

None of these steps is hard, the problem is that there are so many of them and that they come back every day

They will never give you a direct integration

This is the real point in an agency, and it's worth saying it plainly: a carrier's portal is their house, not yours, and no carrier will open a technical integration just because it suits you, you have no power to change that and you never will

So two roads are left, either you send a person into those screens, or you send a system that uses them the way a person would, opens the page, enters the credentials, fills in the fields in the right order, saves and downloads what you need

The second road is exactly what we do, programs with no direct integrations are the house specialty, not the fallback for when the integration isn't there

Examples of what it can do among your screens

These are examples of what the system can do in an agency, not work already delivered to someone, Muffin Suite started recently and this line is here so you know that before you have to ask

That said, here is the kind of thing we build

  • You take the customer record once, from the agency software or from a document, and the system retypes it into the quoting tools and the portals of the carriers you work with, with nothing left for you to write again
  • Every morning it checks the due dates, prepares the list of the week's renewals and sets aside the ones with a piece of data missing
  • It logs into the portal, downloads the premium receipt, renames it the way you rename it and sends it to the client with the text you would have written
  • It compares the bank movements with the payments in the system, matches the ones that add up and leaves open only the ones that don't
  • It reads the PDF that arrives from the carrier, pulls out the policy number, the premium and the start date, and carries them into the agency software

What the client really pays you for

Nobody walks into an agency because you fill in a form well, they come because you explain what is covered and what isn't, because you ask the right question before they sign, and because when they file a claim you are the one who answers the phone

That work stays yours, the system doesn't pick the cover and doesn't advise anyone, it does the mechanical steps and stops as soon as something doesn't add up, a missing field, a portal behaving differently from usual, an amount that doesn't match, that case is left on your desk instead of guessed at

At the start it's worth keeping it on a short leash, with more checks and more confirmations, then you give it more room on the cases you have already seen work

Why it pays off for the agency

The hours that go into retyping today come back free, and you use them to talk to clients or to stop reaching Monday with the renewals behind, without putting someone on the payroll to copy data from one screen to another

You don't have to replace your software, the system uses what you already have, and we agree the monthly fee before we start, that figure stays and you approve every addition, if you want an idea of what it weighs today there's the hours calculation

I'm Antonio Fuccillo, I write the automations myself and I answer the messages myself, the office is in Nove, in the province of Vicenza, and the VAT number is 04650850243, show me a procedure, even just a screen recording with none of your clients' data in it, and I'll tell you whether it can be done and at what fee, written down before we start, write to me whenever you like

What people usually ask us

No, Muffin Suite works inside the screens the way an operator would, it opens the page, enters the credentials, fills in the fields and downloads what you need, so no technical integration granted by the carrier is required
No, the Muffin Suite automation runs on the agency software and on the portals the agency already uses, with no migration and no change to the habits of the people who work with them every day
It depends on the procedure, Muffin Suite looks at what you do by hand and agrees a monthly fee before we start, with no large upfront cost, that figure stays and you approve every addition
The Muffin Suite automation stops and leaves the case on your desk, a missing field or an amount that doesn't match are never guessed, the case stays there and you close it when you have two minutes
No, the Muffin Suite automation only does the mechanical steps, the customer record retyped into the portals, the premium receipt downloaded and sent, advising the client and choosing the cover stay with you
A short screen recording of the procedure is enough, with none of your clients' data in it, Antonio Fuccillo of Muffin Suite watches it and tells you whether it can be done and at what fee, agreed before we start
