One hour of technical work, two hours of forms
You have the application in your head from the start, you know what is needed, you know how it is done, the survey and the design choices were settled in an hour. Then you sit down in front of the municipal portal and start keying in the client's name, the tax code, the map sheet, the parcel, the subunit, the same data already sitting on the land registry record you have open in the other window, already written in the report, already written in the form before this one
Then the municipality next door has a different portal, with the fields in another order and some quirk you only find out about when it blocks your submission, and by that point it's seven in the evening
Where the hours go in the practice

- The system reads the land registry record and the client's documents, pulls out the personal details and the property data, and carries them into the practice business software and into the forms, without you retyping them
- It opens the municipal portal with your credentials, gets to the right screen and fills in the fields it knows how to fill in, then it stops and leaves you the final check and the confirmation to send
- It puts together the folder for the application with the attachments renamed by the rules you give it, and flags what is missing before the planning office tells you
- It checks that the tax code, the land registry data and the dates say the same thing across every document in the file, line by line, which is the job where a person on the tenth application stops seeing straight
- It keeps the deadline diary of the open applications and of the additions, and warns you in advance
The technical point is this, the system does not need a direct integration built specially for you, and in fact it doesn't look for one, it works on the screens the way one of your assistants would, with the keyboard and the mouse, and that is the house specialty
What stays with you
The design, the choices, the responsibility for the signature, nobody touches those, and that is not a polite formula, it is how the system is built, it does the mechanical steps and you make the technical judgments
When something does not add up, a value that does not match, a field the portal has changed, a case it has never seen, the system does not try to guess, it stops and sets the case aside for you
How much rope to give it is up to you, at the start it is worth keeping it on a short rein, with more confirmations, then you widen it on the steps you have seen work
Why the practice comes out ahead
You are the one doing the technical work and you are also the one filling in the forms, so every hour taken off the forms is an hour that goes back to the profession, or an evening that ends at a normal time, and you don't need to hire anyone to key in data
You don't have to replace your software, the system uses the portals and the business software you already have, and we agree the monthly fee before we start, with no large cost at the rollout
