You open the site's dashboard, you open the marketplaces, you check whether anything came in overnight, then you open the business software and start typing out the same lines you have just read, name, address, items, quantities

Then there's the order that came in by phone, or by email, that someone jots down on a sheet of paper and enters later, when they have a minute

The stretch of road nobody covers

The platforms give you their own tools, and they work, a store on Shopify, WooCommerce or PrestaShop does its job and so do the marketplaces, the point is somewhere else, between the channel where the order is born and the business software you invoice from there's a stretch left uncovered, and in your setup that stretch is walked by a person with copy and paste

That's where I work, on that stretch in the middle, even when the two programs have no direct integration between them, and that's the house specialty

When the stock levels don't add up you pay twice

If the warehouse says three and the channel says five, sooner or later you sell two items you don't have, and everything else follows from there, the customer waiting, the message to write, the apology, the refund or the return, and on a channel that isn't your own house an unhappy customer writes it where everyone can read it

The cost isn't the missing item, it's the hour you spend putting it right, plus the customer who doesn't come back

What the system can do inside your setup

These are examples of what the system can do, not jobs already delivered for somebody, I started recently and I'd rather say it here than let you work it out later
  • It takes the orders from the channels you use, carries them into the business software with items, quantities and customer details already in, and sets aside the ones that don't add up instead of forcing them through
  • It reads the stock levels in the business software and writes the quantities back to the channels, with the rules you decide, for instance a safety stock below which an item disappears from sale
  • It fills in the shipment on the portal you ship with, picks up the tracking number and puts it back on the order, so the customer sees it without you opening anything
  • It records a return, putting the item back into the warehouse and sorting out the documents attached to it
  • It reads the list or the price list your supplier sends you, in Excel or in PDF, and updates the prices where they need it, the same as the work on price lists in Excel and PDF

What stays in your hands

What to sell, how to tell people about it and at what price, those stay your decisions, and they're the only part of the work you really get paid for, the rest is typing

The system doesn't improvise, an odd order, an incomplete address or an item it doesn't recognize are not made up, it stops and leaves them on the table for you, and how much autonomy to give it is up to you, at the start it's worth keeping it on a short rein

Why the sums work out

The hours that go into data entry today come back free, and you use them to sell or simply to close up earlier, without hiring someone to copy data from one screen to another, and if you want to put your own number on it there's the savings calculation

You don't change online store and you don't have to replace your business software, the system uses the ones you already have, the way a person at the screen would
