The work that eats your hours
It isn't the advice, that's the reason the client pays you, it's the steps around it, always the same, that nobody can skip
- Invoices that arrive as PDFs, by email or from the tax authority's portal, and someone has to enter them one by one
- Cash journal entries typed by hand from bank statements and from Excel sheets that every client fills in their own way
- Portals to open, with the receipt to download, rename and put in the right folder
- Documents to ask clients for, then to ask for again, then to ask for once more
- Checks on codes, dates, amounts and VAT numbers, dull but necessary
- The deadlines, which all pile up in the same week
Examples of what can be automated
These are examples of jobs the system can do, not jobs already delivered for some practice, we started recently and we'd rather tell you
- The system reads a client's invoices, pulls out the net amount, the VAT rate and the supplier, and posts them in the business software to the right account, following the rules you give it
- It takes the bank statement, recognizes the recurring transactions and prepares the cash journal, leaving out only the ones it can't match
- It logs into the portals with your credentials, downloads what's needed and files everything under the name and in the folder the practice uses
- It compares what the client has sent with what's missing, and prepares the list to chase up
What stays with you
The system does the mechanical steps, the accounting decisions stay yours, it doesn't invent anything for a new document or a transaction that doesn't add up, it stops and sets it aside for you
You decide how much autonomy to give it, at the start it's worth keeping it on a tight rein, with more checks and confirmations, then you widen it on the cases you have seen work
Why the practice comes out ahead
The hours that go into data entry today come back, and you use them for clients or to avoid reaching June with a backlog, without hiring someone to type in data
You don't have to replace your software, the system uses what you already have, the way a person in front of the screen would
